ARCTIC AQUATICS SWIM CLUB- POLICIES AND PROCEDURES

Our club (ARCT) is a USAS year-round competitive swim team. We offer high-quality coaching and instructions for swimmers of different ages and abilities. Our goal is to provide every member with an opportunity to improve their swimming skills and succeed at their level in a safe and supportive environment.


All of our coaches, as members of the USA Swimming and American Swim Coaches Association (ASCA), have completed the most comprehensive training and certification programs for the sport. With years of coaching experience, our coaches support our young swimmers to grow together and build a well-rounded competitive swim team.


ARCT prioritizes building both the physical and personal qualities of an athlete. They learn to become hard-working, proactive, healthy and confident athletes. We will help, support, and develop each other.


You and the coach will work together to have the best interests of your child and the program at heart. Communication is vital to ensure a positive experience in the program. Remember the coaches are the only ones that can give you a complete and accurate answer. Coaches are available to speak only before and after all practices, never during practice.


Registration Information/ Financial Obligations:


Forms: It is the responsibility of the parent or guardian of each child to process and understand all appropriate registration forms, including but not limited to, facility waivers, birth certificates, MAAPP forms, and club transfer forms. Swimmers are not allowed to practice or attend meets without all forms and USA Swimming Registration being accurate and complete.


Club Tuition: All club tuition fees are non-refundable for all programs offered.

Foundational Programs (Arctic Beluga Learn-to Swim, Preteam, Infinity Competition Prep Programs):

  • Tuition is set on a quarterly basis and broken down by training groups. The club tuition is on electronic registration. The club tuition will only be pro-rated for swimmers joining after the start of the appropriate season, or for current swimmers who are adjusted to a new training level. There will not be a prorated fee for swimmers who interrupt their training during the season. This includes other commitments, common sicknesses or sports, etc. Once you register, nothing entitles you to terminate this agreement without paying the total fees due or to expect a refund of any kind. If you decide to cancel your membership mid-season, any tuition balance owed will be charged to your credit card immediately.
  • One-day group members will be able to do make-up practices on the other day of the week, subject to availability. The makeup class shall be completed before the end of the session. If a practice is canceled, a make-up practice or a credit will be applied to the family account, which can be used towards the next session. This credit does not have any cash value, nor can be transferred to another swimmer.

Competitive Team Programs (JR, AG, and SR Programs):

  • Competitive team tuition is set on the SCY or LCM seasons. Once registered, swimmers are committed to the entire season. There will not be a prorated fee for swimmers who interrupt their training during the season. This includes other commitments, common sicknesses or sports, etc. Once you register, nothing entitles you to terminate this agreement without paying the total fees due or to expect a refund of any kind. If you decide to cancel your membership mid-season, any tuition balance owed will be charged to your credit card immediately.


Cancellation of Membership: If you choose to cancel your membership with ARCT, you must do so before the deadlines posted, in writing to the program administrator via email. Once payment is processed, you will be responsible for that season's payment in FULL.


Forms of Payment:


Tuition: ARCT accepts checks, Zelle, ACH bank information, and credit cards (via the electronic registration platform). The platform will charge a processing fee for credit/debit cards and this charge is non-refundable.


Meet fees/Miscellaneous Charges: All charges will be posted to accounts. Credit cards and ACH payments on file will be charged for payment if no Zelle payments are received before the due date.


Mandatory Clothing and Equipment:

All Preteam and above groups are required to wear ARCT logo caps and team clothing at all practices and swim meets. Swimmers should have their required equipment with them at every practice. ARCT is not responsible for any lost or stolen items. The required equipment can be found on the team website. ARCT will offer some equipment subject to availability, the cost of the equipment will be posted to accounts.


All groups except for pre-team are required to purchase one team swimsuit per year and use team items during the meet. Items include, but are not limited to, team caps, warmup jackets, parkas, and backpacks. Please visit the team store to purchase team items.


Family Accounts:


Family Account: Credit cards or ACH payments must be on family accounts for all swim meet and clothing charges. Your Family account will be billed for all charges. Active members have access at all times. There is no refund for meet fees if you do not attend or miss any events.


Account Review/ Finalization: Charges for Meet entry fees, tuition fees, and clothing fees are final and non-refundable. No changes to accounts will be revisited after 60 days from the original posting date. Family accounts are terminated when terminating participation with ARCT. Termination includes but is not limited to written notice of cancellation, insufficient funds, termination of participation by coaching staff, or forfeiture of program availability due to lack of participation. Any remaining credits in family accounts not claimed in writing after 30 days will be forfeited. Positive credit balances have no cash value and cannot be redeemed for cash.


Event Surcharge: For each swim meet event in which a swimmer is entered a coach fee in addition to the meet fee charged by the meet hosts. The fee amount can be found on the event registration page.


USA Swim Meet Volunteer Non-Compliance: All parents are expected to help with meet operations if assigned. If you have a conflict during your child’s session, you are responsible for being proactive. Please get in touch with the team manager, one week in advance to arrange to make up your session responsibility, and help prior to or after the swim meet.


Legal Fees: Occasionally, ARCT must participate in legal proceedings with members and families. If this occurs for ANY REASON, the member family will be responsible for any, and all fees (legal, accounting, travel, out-of-pocket reimbursements) pertaining to that occurrence, incurred by ARCT.


Other Obligations


USA Swim Meets: 

ARCT competes in regularly scheduled USA meets sanctioned by United States Swimming during the Short-course and Long Course seasons. Swimmers are expected to compete, when ready. Competition is a barometer of improvement. Please review with your coach which meets are appropriate for your child. Swimmers will be entered into all appropriate meets unless you OPT OUT by the deadline date provided on the club meet page on the website. Meet entry procedures can be found on the team website.


Communication:

ARCT utilizes the internet to conduct team communication. The team website is the main source of information between the coaching staff, parents, and swimmers. Practice schedules, swim meet information, and important notices are posted on the website's main page and calendar. Make sure you and your swimmer(s) check the website on a "Daily Basis", for new information. It is the parent’s responsibility to know current information.


E-Mail Information/SMS: The email you provided on your club registration will be used as your primary contact. The cell phone you provided will be used for text and emergencies only. Please be sure to verify your email addresses and phone numbers.


Training Facilities: Our ability to run successful swimming programs is 100% reliant on good relations with our facilities. We are guests at all facilities. It is the parent’s responsibility to understand and follow facility rules and regulations.


Illness and Injury: The facility coach should be informed of an illness or injury. Please notify in person, by e-mail, or by phone, to make the coaching staff aware of the situation. There will be no reimbursement for missed practice due to an illness or injury.


Termination:

ARCT and the coaches reserve the right to terminate a swimmer due to inappropriate behavior, violation of USA Swimming, Safe Sport, club and facility rules, and other reasons. No refunds of the remaining tuition will be granted.


It is prohibited for a swimmer to train or compete with another USA Swimming Club team or its coaches when enrolled and registered in ARCT programs. The swimmer will be terminated from the program for such violation.
